Job Title: SPA ADMINISTRATIVE ASSISTANT
Reports To: SPA DIRECTOR/SPA OPERATIONS MANAGER
FLSA Designation: NON-EXEMPT – HOURLY
Work Shifts Required: AM/PM
Specific Shift Start/End TImes: 7am - 7pm
Status: Full Time

SPECIFIC DUTIES AND RESPONSIBILITIES:
•Ensure accurate and timely payroll information as it relates to punch detail, no-shows, cancellations, check requests, employee meetings and Spa Soft transactions. Research all payroll disputes. Post all manual payroll transactions required for accurate and timely production of payroll for the spa.
•Handle monthly recognition and incentive programs insuring timeliness and accuracy of information to payroll.
•Maintain updates to the menu of services and spa website.
•Maintain office supply and paper orders as it fits into monthly budget.
•Ensure proper screening, handling and follow through of telephone calls for Spa Director
•Handle distribution of mail, correspondence, faxes, etc. Handle filing and proper retention of correspondence and reference material for Director. Prepare and type all of the Director's correspondence as required including but not limited to: memorandums, meeting minutes, phone lists and creation of forms as needed. Handle scheduling of monthly employee meetings including communication to management and employees, organizing meeting location.
•Act as liaison between spa and housekeeping and engineering. Establish a tracking system to maintain work statuses and ensure completion of work requested. Staff will report any housekeeping/engineering concerns to Administrative Assistant.
•Track and ensure licenses and certification compliance for service providers and outside contractors. Handles annual renewal of business licensing for treatment providers.
•Practice safe work habits and follows all safety procedures. Assists in helping with cleanliness throughout The Sanctuary Spa.
•Be extremely knowledgeable and be able to accurately describe and sell services and products offered at The Sanctuary Spa. Educate guests on resort activities and facilities.
•Listen and extend assistance to employees and management. Remain calm and alert especially during emergency situations and heavy spa activity days.
•Perform all responsibilities using experienced judgment and discretion.
•Provide assistance when necessary throughout The Sanctuary Spa.
•Perform any other duties as assigned by management.
