JOB SUMMARY

The Receiving Clerk plays a vital role in supporting the resort's daily operations by ensuring the accurate receipt, inspection, storage, and distribution of food, beverage, and operational supplies. This position is responsible for maintaining organized inventory, processing deliveries, fulfilling internal requisitions, and supporting purchasing operations while ensuring all products meet Sanctuary's quality standards. Success in this role requires strong attention to detail, organization, teamwork, and a commitment to delivering exceptional internal service.


JOB FUNCTIONS

Note: the following duties and responsibilities are not all-inclusive.

  • Receive, inspect, verify, and accurately process food, beverage, and operational deliveries from vendors and distribution centers.
  • Ensure all received products meet quality, quantity, and specification standards before acceptance.
  • Transport deliveries to the appropriate storage locations while maintaining proper food safety and storage procedures.
  • Maintain accurate inventory records, including receiving documentation, inventory adjustments, and month-end inventory counts.
  • Process and distribute daily departmental requisitions in a timely and accurate manner.
  • Receive, log, and distribute inbound UPS, FedEx, freight, and other deliveries to the appropriate departments or team members.
  • Maintain daily receiving logs, shipping records, and purchasing documentation.
  • Rotate inventory using First In, First Out (FIFO) standards to minimize waste and maintain product freshness.
  • Maintain cleanliness, organization, and safety within the receiving dock, storage rooms, and loading areas.
  • Assist with stocking and organizing beverage inventories, including soda, water, beer, and other supplies.
  • Safely operate carts, dollies, pallet jacks, and other material handling equipment.
  • Build and maintain positive working relationships with vendors, delivery drivers, department leaders, and fellow team members.
  • Follow all company policies, food safety regulations, and workplace safety procedures.
  • Support Purchasing leadership with additional projects and operational needs as assigned.

JOB REQUIREMENTS

  • Excellent organizational skills with strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced hospitality environment.
  • Strong interpersonal and communication skills with a professional and service-oriented attitude.
  • Ability to read, understand, and verify invoices, packing slips, purchase orders, and receiving documentation.
  • Basic computer proficiency, including Microsoft Outlook and Microsoft Excel.
  • Basic mathematical skills, including addition, subtraction, multiplication, and division.
  • Ability to work independently while also contributing positively as part of a team.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Ability to professionally interact with guests, vendors, and fellow team members while resolving concerns in a positive manner.
  • Must be at least 19 years of age due to handling alcoholic beverages.
  • Ability to safely operate golf carts and material handling equipment.

Physical Requirements

  • Frequently lift, carry, push, and pull materials weighing up to 50 pounds; occasionally lift or move items weighing up to 90 pounds with appropriate assistance or equipment.
  • Stand, walk, bend, stoop, kneel, reach, twist, and climb throughout the workday.
  • Frequently use hands and arms to grasp, move, and organize products of varying sizes and weights.
  • Climb ladders and stairs as needed.
  • Work indoors and outdoors in varying weather conditions, including heat, cold, and wet environments.
  • Walk on uneven terrain and navigate loading dock and storage areas safely.
  • Visually inspect products, equipment, and work areas to identify quality or safety concerns.

QUALIFICATIONS

Education

  • High school diploma or equivalent

Related Work Experience

  • Previous receiving, warehouse, purchasing, inventory, food and beverage, or hospitality experience preferred.
  • Experience in a hotel, resort, restaurant, or similar hospitality environment is highly desirable.
  • Experience with purchasing or inventory management software such as BirchStreet or similar systems is preferred.
  • Basic proficiency in Microsoft Office applications, particularly Outlook and Excel.
